Day 17 (9 Nov 2022)

After completing both the three-way test and the aging test, today I am moving to the general ledger test which for me is the most time-consuming one. For the general ledger test, there are two documents we need, the trial balance and the general ledgers. I started to process the trial balance first, for it, the client provided us with two files, one is the opening trial balance while another one is the closing balance. The next thing I need to do is to clean it to take out all the empty cells, and just remain the account code, account name, and amount. I cleaned the trial balance for all six companies. Then I noticed that there are a lot of accounts are having zero for its balance but still appear on the trial balance, I did is to proceed with the next step which is to append all six companies into one file.

Then moving to the general ledger, I found out that the ledgers of all six companies are grouped with their months, in other words, there are twelve files for each company. I do the cleaning and I asked my senior which field should I keep, he told me that the fields normally we need are the posting date, document date, amount, account number, document number, account name, and description but he suggested that the other fields, the entry number, document type, system created can be kept even though it is not been used. I follow my senior suggestion and just delete the empty cells. Even though the process is simple but it takes a long time because the file is many as there are six companies and each of them has twelve months of files. Then I move to the append step, I used IDEA to do it, and the time I input the files are long as the files are many and some of them of extremely large. It then pop up to me that some files are having different data types compared with the others, so I need to spend time to identify which one is not standardized and then change it and again input it to the IDEA to append. I have to spend a whole day doing the cleaning and append tasks as the files are many and the sizes are large.

• I performed data cleaning for the general ledger of Envictus group that are large in size

• I appended all the large-sized files into one file

Today I realized that even though data cleaning is a small task but it might take a long to do so if the file size is large and if the files are many.
